How To Run Your Martial Arts School Like The NFL

Do you ever catch your assigning tasks haphazardly to your team, not sure who should do what?
This newsletter is here to give you clarity! And weโre going to learn from a MUCH bigger industry, the NFL.
When you think about the best teams in the NFL (yes, Iโm talking about the Philadelphia Eagles), what makes them great?
Itโs not just talent.
Itโs not just coaching
Itโs the fact that everyone knows their role and executes it like a pro.
The quarterback throws.
The wide receiver catches.
The linemen block.
Each player focuses on their role, and together, they operate like a machine. But hereโs the thing: sometimes the QB runs the ball, and sometimes the WR has to block. Roles are defined, but thereโs still flexibility and overlap.
How This Applies to Your School
If you want your martial arts school to run like the Eaglesโ offense, your team needs the same clarity. Every team member should know exactly whatโs expected of them, but also have the flexibility to step up when needed.
Hereโs how I break down the roles at my school between the Program Director and Head Instructor:
Program Director
-
Leads the offense when it comes to growing the school and marketing.
-
Focus Areas: Leads, enrollment, marketing, and retention.
-
Daily Responsibilities: Confirm intro lessons, follow up on leads, and manage billing.
-
Overlap Areas: Sometimes theyโll help with special events or assist in a class.
Head Instructor
-
Runs the field when it comes to student experience.
-
Focus Areas: Teaching, class management, and curriculum implementation.
-
Daily Responsibilities: Run classes, oversee promotion ceremonies, and ensure students progress.
-
Overlap Areas: They might follow up with parents or assist with local outreach.
Why This Works
When your team knows their primary responsibilities, they can focus on being exceptional at their role. And when they understand the overlaps, they can support each other when needed, without stepping on toes, or saying โoh I donโt know how to do THAT.โ
The Result?
-
Fewer dropped balls (literally and figuratively).
-
Better communication.
-
More time spent building your school, less time fixing mistakess.

Yes, even if youโre a Chiefs fan, I wonโt like it, but Iโll send it your way with a snarky remark.
Your school can run like the best team in the NFL, but only if your team knows their roles. Donโt leave it to chance.
As always, 3 min read, no fluff, all strategy.
